Orders & money

Take a quote through to an invoice.

Check customer identity, line details, approval and payment state before issuing a commercial document.

Before you begin

Use the correct customer and confirm whether the order is retail or trade. Check the billing details, delivery or collection choice, customer reference and the staff role permitted to issue the document. Screen labels can vary with your workspace version.

For a configured panel, open the saved specification and drawing. A free-text description should not replace the dimensions and processing choices that production needs.

Review the quote as the customer will see it

Compare quantity, unit price, discounts, VAT, delivery and the final total. Check the validity date and payment terms against your agreed policy. For trade accounts, confirm the correct account price is being applied rather than assuming every trade customer has the same price.

Save the draft, open its document preview and inspect long descriptions and multiple lines. Confirm that the customer-facing record and the technical drawing identify the same revision.

Record approval before progressing

Keep the customer's approval against the correct quote revision. If dimensions, price or delivery scope change, review the effect before proceeding. Avoid accepting one revision while sending another to the workshop.

When turning an approved quote into an order or invoice, use the supported conversion workflow. Retyping the job can create duplicate records and lose its specification history.

Issue and reconcile

Check how deposits and earlier payments are allocated. An invoice records an amount due; it is not proof of payment. Compare its balance with actual recorded transactions and the relevant provider or bank records.

After saving, open the issued document and confirm its reference, customer, lines, tax and outstanding amount. Send it using your agreed channel only after the preview is correct.

If Create invoice is unavailable

Look for field errors, an empty order, missing customer details or a role restriction. Check whether a request is already in progress. If the outcome is uncertain, search for the invoice or order reference before clicking again.

Report the page, business, time and visible message to support. Do not repeatedly create new drafts to work around an unexplained failure. Preserve the original record so the problem can be traced.
