Confirm what has been booked
Check the customer, job reference, service, date, time window, address and access notes. A survey, fitting appointment and goods delivery are different commitments. Make sure staff and the customer understand which one was agreed.
A calendar entry does not prove that every panel or fitting is ready. Verify the job's readiness and any outstanding items before assigning a delivery.
Prepare the run
Review the destination and contact details, piece count, handling instructions and collection or delivery responsibilities. Use the order's current specification and documents.
If an address or time changes, ensure the driver sees the update and the customer receives the agreed confirmation. Avoid leaving contradictory instructions in separate notes.
Record the outcome accurately
At the stop, confirm what was handed over and record the supported evidence, such as a signature or photographs. Record a partial or failed delivery as such; do not mark the complete order delivered to close the run.
Follow your business's process when nobody is available or access is unsafe. A rearranged appointment should retain the link to the original job and the reason for the change.
Check synchronisation before closing
Where offline capture is enabled, evidence may remain on the device until a connection returns. Confirm it has reached the order before treating the office record as complete.
If evidence is missing, keep the device data intact and report the delivery reference and time to support. Do not create a replacement signature or assume a photograph proves an unrecorded handover.
